Invitation to attend
From August onwards, graduation invitation letters will be sent to students who have completed their studies and had their award agreed by an assessment board. The letter will be sent to the student's home address as recorded on the University's student records system and a copy of the letter can also be found in the student's Correspondence History in O.A.S.I.S. Any students who have had their award letter from the assessment board but have not received a graduation invitation letter by Monday 18 September 2017 should contact the Graduation Office (firstname.lastname@example.org) immediately.
Students will be invited to attend a particular ceremony. It is not possible for students to change to another ceremony if the date or time is not convenient. Students who choose not to attend, or are unable to attend, will graduate in absentia.
All students should respond to the graduation invitation, either to register to attend or to register to graduate in absentia.
Responding to the invitation
To register to attend - or not attend - the graduation ceremony, students must login to MySuffolk and complete the online graduation registration form in O.A.S.I.S. > Graduation Registration. Registration will open in August 2017 and the link to the online registration form will appear in O.A.S.I.S. when the invitation letter has been sent.
Whether students choose to attend their graduation ceremony or not, it is important that the registration form is completed to ensure that we have a correct record of their name and address details. This is the final opportunity for students to check their details and correct any misspelling of their name.
The deadline for completing the registration form is noon on Wednesday 20 September 2017.
All guests attending a graduation ceremony will require a ticket. Each guest ticket costs £15 and includes entry to the ceremony, a souvenir graduation programme and entry to the post-ceremony celebratory reception. Children under the age of 5 years will not require a ticket but must be accompanied by an adult guest.
Guest tickets can only be requested through the online graduation registration form. Details of how to purchase tickets, and the deadline by which they should be purchased, will be sent to the contact email address provided by the student when completing the registration form. A copy of this email can also be found in the student's Correspondence History in O.A.S.I.S.
All graduating students are allowed to purchase up to three guest tickets initially. If any tickets remain after the deadline for purchasing the initial allocation, additional tickets may be offered for sale on a first come, first served basis, subject to availability.
Students should indicate if they would like to be informed about the availability of additional tickets when completing the online graduation registration form. Details about the availability of additional tickets, and how to purchase them if applicable, will then be sent to the contact email address provided by the student when completing the graduation registration form. A copy of this email can also be found in the student's Correspondence History in O.A.S.I.S. As space at the venues is limited, there is no guarantee that additional tickets will be available for any of the ceremonies. No additional tickets will be available for the University of Suffolk at West Suffolk College ceremony at St Edmundsbury Cathedral.
All students who choose to attend their graduation ceremony must wear the correct academic dress for their award and awarding body. Students who are receiving a University of Suffolk award will wear the new University of Suffolk academic dress. Students who are receiving a joint award of the University of East Anglia and the University of Essex will wear the academic dress representing the joint UEA/Essex award, as previously worn by all University Campus Suffolk graduates. The award and awarding body will be detailed on the award letter sent to students by the assessment board, as well as on the home page of the online graduation registration form. Students should check if in doubt before ordering their academic dress.
Academic dress should be ordered from Ede & Ravenscroft at least two weeks before the graduation ceremony. Students are advised to complete the online registration form and await the confirmation email before ordering their gown. The cost of hiring academic dress is around £45 to £55, depending on the level of the award. Ordered academic dress will be available for collection at the venue on the day of the ceremony (note: for University of Suffolk at West Suffolk College students, academic dress should be collected from The Apex).
Further information about how to order a gown is available in the Graduation area of MySuffolk.
Students who attend their graduation ceremony will be issued with their certificate and transcript on the day. After the graduation ceremonies have taken place, the certificates for students who graduated in absentia will be posted by recorded delivery to the address held on the University's student records system (which should have been checked and confirmed or updated when completing the online graduation registration form).
It is not possible to issue certificates until the award has been conferred at the graduation ceremonies.
On the day - Arrival time, doors open, seating and duration
Each graduation ceremony will start at the published time. Doors will open for guests and graduating students to take their seats approximately one hour before the ceremony is due to begin. Graduating students are advised to arrive at least an hour to an hour and a half before the ceremony to allow time to register, gown and have any official photographs taken.
Each graduating student will be allocated a specific seat in the venue where they must sit during the ceremony. Students will be issued with their seat number at the registration desk on arrival at the venue (note: for the University of Suffolk at West Suffolk College ceremony, the registration desk is in The Apex).
Seats for guests are unreserved, unless the Graduation Office has previously been informed (via the online graduation registration form) that a guest requires a space for a wheelchair.
The ceremony itself will last for approximately one hour and will be followed by a celebratory reception where graduates and their guests will have the opportunity to enjoy some light refreshments and meet with fellow graduates, academics, managers, honorary graduates and other specially invited guests.
Further details, including specific arrangements for each of the ceremonies, are available in the Graduation area of MySuffolk.
Ede & Ravenscroft will have photography studios at all of the ceremonies and will be available before and after each ceremony for professional student and/or family portraits. There are a range of photography packages available and these can be ordered in advance at the same time as ordering academic dress, or ordered on the day.
An Ede & Ravenscroft photographer will also be present at all of the ceremonies to take a photograph of each graduating student as their award is conferred. Award photographs are available to view and purchase through the Ede & Ravenscroft Online Gallery usually 7-10 days after the ceremony. For students graduating at one of the ceremonies in Ipswich or Bury St Edmunds, Ede & Ravenscroft will have a display stand after the ceremony where award photographs can be viewed, purchased and printed to take home on the day.
Further information about photography packages and award photography is available in the Graduation area of MySuffolk.
The names of all graduates, including those conferred in absentia, will appear on a range of "Class of 2017" t-shirts, baseball shirts and hoodies produced by Campus Clothing. Graduating students who do not want their name to appear on the clothing range must opt out when completing the graduation registration form. Campus Clothing also offer other graduation memorabilia including teddy bears, mugs and loungewear, some of which can be personalised. All items can be purchased online from Campus Clothing. Alternatively, Campus Clothing will have a stand at the ceremonies in Ipswich and Bury St Edmunds where items can be viewed and purchased to take home on the day.
All of the graduation ceremonies in Ipswich will be recorded by First Sight Media and a souvenir DVD or Blu-Ray can be purchased after the ceremony, either from the stand at the venue or online from iamagraduate.com.
Unpaid tuition fees
Students should be aware that if they have any outstanding debt to the University in the form of unpaid tuition fees, they will not be permitted to attend their graduation ceremony or receive their certificate until the debt has been cleared in full.
Further information about the graduation ceremonies, including FAQs and what to do on the day, is published in the Graduation area of MySuffolk.
